Administrative Assistant – PRINTMEDIA/PHOTO*

Duties: Provides managerial support to a rapidly growing unit of three departments and six academic programs with year-round functions. Conducts all financial management and technology support for the unit. Aids in the general administrative support, coordination of faculty services, plus facilitates student reception, advising and referral. Trains, oversees, prioritizes and delegates responsibilities to student workers for daily reception and communication.
Qualifications: High School diploma required; BA/BS/BFA strongly preferred. Previous clerical and administrative experience in higher education or a cultural organization. Very strong organization and communication skills. Ability to work well with students, faculty and staff at all levels. Ability to handle multiple projects and priorities.
*This is a 28-hour per week position.

Coordinator, Development Events
Department: SAIC Development
Job Code: MC/303
Duties: Responsible for the management and coordination of development events and meetings. Manages event calendar for Office of Development, including timeline and tactics to facilitate and achieve event/meeting goals. Coordinates all logistics required for events including, but not limited to contracts, RFP’s, catering, program timeline, volunteer staffing, invitations, print programs, tracking RSVP’s, photographers, ensuring that appropriate SAIC leadership are staffed on the goals and timeline of event/program. Ensures that various administrative roles aligned with events are communicated. Responsible for coordinating volunteer leadership surrounding events. Manages event task force for Development team by holding monthly meetings with both Development and Communications & Marketing team members. Develops policies and procedures for best supporting development events and meeting expectations. Communicates these event policies to the Development team & SAIC community. Coordinates post-event discussions. Summarizes event expense and revenue. Reviews list of attendees with SAIC Development team to identify and track any special follow-up with guests. Works with Director of Annual Giving and Associate Director of Communications to formalize invitations, communications and proposals for development events. Works closely with Development team to ensure donor sponsorship expectations for events are fulfilled and ensures that print communications reinforce donor investment message (programs, invitations, etc).
Qualifications: A Bachelor’s Degree required is required. Must have at least one year of event experience or equivalent experience in a related field. A proven track record of successful program management is critical. Must be energetic, creative, well-organized, process/detail oriented with ability to multi-task. Must be willing to work evenings/weekends. Proficiency in MS Office and excellent written and verbal communication skills are essential. Proficiency in Photoshop and Adobe Creative Suite is desirable. Must have strong interpersonal skills.

Lighting Technician*
Department: Physical Plant

Duties: Installation and re-lamping of lighting fixtures. Installs fixtures to light newly installed art with lamps that meet criteria established by supervisor. Trouble shoots circuits from 30/120 volts, under general supervision. Performs duties of house electrician for special events with responsibility limited to 120 volt power.
Qualifications: Must possess a good background in Electrical fundamentals obtained in an apprentice program, through a recognized post high school training institution or on the job training as an electrician. Minimum of two years experience preferred. Must posses ability to read electrical diagrams and knowledgeable of Chicago and National Electric codes. Construction experience desired.

Membership On-Site Sales Assistant*

Duties: Responsibilities include promoting and selling membership to museum visitors, answering questions about museum membership and benefits, upgrading existing members to a higher level of membership, renewing existing memberships, filling out membership paperwork, serving as a host to existing museum members, working closely with Membership, Visitor Services, Museum Shop, and Museum volunteer teams, and performing other duties as required.
Qualifications: Must be able to interact with the public in a courteous, friendly manner. Should be able to communicate clearly and articulately. Prior cash handling and sales experience is necessary.

Media Project Coordinator
Department: Instructional Resources & Facilities Management

Duties: Produce finished digital photography for SAIC needs as assigned. Implement production plan and deliver assets to the SAIC Communications Content and Asset Manager as needed. Produce video/digital production and documentation for SAIC video/presentation needs as assigned. Under supervision of the Director of Media Services, implement production plan, prioritize production and deliver finished media projects for advancement of the institutional mission. Coordinate with necessary venue technicians to attain access, audio and lighting as necessary to deliver quality documentation of special events. Coordinate with freelance Production Specialists and student employees as necessary to accomplish projects requiring crew teamwork. Provide supplementary assistance in photographic video & desktop presentation production as needed.
Qualifications: Experience in media production and/or administration. Experience with digital video and sound production (cameras, lights, microphones, audio recorders, etc.). Proven management or supervisory experience required. Ability to work with a diverse range of faculty, students and staff and to understand and explain technology at the basic through advanced levels. Excellent writing skills. Advanced non-linear video editing experience and knowledge, and proficiency in digital sound production and broadcast highly desirable. Proficiency with PowerPoint & Keynote. Knowledge of web applications and HTML preferred.

Retail Assistant*
Department: Museum Shop
Job Code: MC/270
Duties: Assists customers in making purchases by answering questions, showing the merchandise to the customer, and completing the sale. Maintains the display of merchandise by keeping the display area clean, dusting and cleaning the merchandise, pricing and restocking merchandise. Closes out the cash drawer of the register at the end of the day, itemizing all receipts, and preparing the "bank" for the next day. Prepares for and counts merchandise for physical inventories and as requested by management. Performs all other assigned duties as assigned by management.
Qualifications: Must possess good math skills and excellent customer contact skills. Prior sales clerk experience required. Should have professional demeanor and appearance appropriate for retail specialty store.

Retail Assistant*
Department: Museum Shop - Warehouse
Job Code: MC/217
Duties: Shipping and receiving of merchandise that is sold in the museum shops such as pens, pencils, books, jewelry, t-shirts, sweatshirts, etc. Uncrates boxes and separate items for re-shipment. Checking packing list against orders. Logging shipments into inventory.
Qualifications: Ability to perform regular warehouse duties (receive merchandise, unpacking, checking against invoice and packing slip, organize and store). Must be able to work under pressure. Experience with shipping and receiving or warehouse is preferred.
